Attendance Policy

This policy was established to help ensure public performances of the highest standard.

Any special circumstances will happily be reviewed by the Executive Board.

·         At the beginning of each TWS season (typically January, May and August), the Conductor shall provide all active TWS members a full schedule of rehearsals and performances.

·         Soon after the Conductor’s schedule is released, the Personnel Manager shall email all active TWS members an online form listing each date on the Conductor’s schedule, along with the following options for members to select for each date:

o   I will attend

o   I will NOT attend

·         The Personnel Manager, Conductor, and section leaders shall review the form submissions to determine personnel needs.

·         Members who selected “I will attend” for 50% or more rehearsals preceding a performance are automatically invited to perform and will not receive any notification.

·         Any members who selected “I will NOT attend” for more than 50% of the rehearsals preceding a performance will be notified via email that they will not be able to perform with us at that concert.

o   Example: 5 rehearsals preceding performance

§  3 “will attend” + 2 “will NOT attend” = member may perform.

§  2 “will attend” + 3 “will NOT attend” = member may not perform.

o   Example: 4 rehearsals preceding performance

§  2 “will attend” + 2 “will NOT attend” = member may perform.

§  1 “will attend” + 3 “will NOT attend” = member may not perform.

·         Those who cannot reach the 50% attendance threshold for a performance cycle shall remain active, valued members of the ensemble, still attending each rehearsal that they can.

·         Members may re-submit the attendance form if personal plans change.

o   If a last-minute rehearsal absence arises, please email [email protected].

·         The Personnel Manager will silently record attendance at each rehearsal.

o   This is done no earlier than 30 minutes into each rehearsal, to help any late-arriving members.

o   The personnel manager will monitor attendance throughout the performance cycle, and email any members if their performance status is in jeopardy in the weeks leading up the performance.
